Introduction
InKase Technologies Inc. (“InKase”, “we”, “us”, or “our”) operates smart vending machines and related services that enable on-demand printing of customized phone cases. We respect your privacy and are committed to protecting your information. This Privacy Policy explains what information we collect, how we use and protect it, and your choices regarding that information. By using our machines or Services you agree to the practices described here.
1. Scope
This Privacy Policy applies to information collected through InKase vending machines, kiosks, our website, mobile interfaces associated with our machines, and any other services we operate (collectively, the “Services”). It does not apply to information collected by other companies or third parties, including payment processors or other websites linked from our Services.
2. Information we collect
We collect only the minimum data necessary to provide and improve our Services, including:
• Design uploads / User Content: Images, photos, artwork, or other files you upload to create a custom product.
• Transaction metadata: Order identifiers, date/time, machine location (site ID), product type, transaction status (completed/canceled).
• Payment processing metadata: Payment authorization status and limited non-sensitive payment metadata as supplied by our payment provider (Nayax). We do not collect or store full card numbers, CVV, or other sensitive payment credentials.
• Device & operational data: Machine health logs, error/diagnostic reports, uptime statistics, software version, and other telemetry necessary for maintenance and monitoring.
• Support & communications: Email correspondence or messages you send to Hello@inkase.today or other support channels.
• Aggregate analytics: Non-identifiable usage metrics for service improvement (e.g., number of prints per location, most used templates).
3. How we use information
We use collected data to:
• Fulfill and process your orders (receive, print, and deliver products).
• Process and verify payments (via Nayax).
• Operate, monitor, and maintain vending machines and backend systems.
• Detect, investigate, and prevent fraudulent or illegal activity.
• Provide customer support and respond to inquiries.
• Improve our products, devices, and services through analytics and testing.
• Comply with legal obligations and cooperate with law enforcement when required.
4. Image / Design retention and deletion
• Temporary storage only: Any images, photographs, or design files you upload to our machines or Services are stored only as long as necessary to complete the print job and process the associated transaction.
• Automatic deletion: Uploaded files are permanently deleted from our active systems when the transaction is either completed or canceled. Deletion includes removal from live processing queues and regular backups, subject to our backup and retention policy (see section 6).
• No marketing or reuse: We do not use uploaded images or designs for marketing, training, analytics, or any other purpose beyond completing your order, unless you give explicit written consent.
• Exceptions: We may retain limited copies of logs or records if required by law, for dispute resolution, fraud investigation, or to comply with binding legal requests.
5. Payments and payment data
• Nayax payment terminals: All payments are processed via Nayax cashless payment terminals integrated into our machines. Our machines accept card payments and mobile wallets (e.g., Apple Pay, Google Pay) only — cash is not accepted.
• No card data storage: InKase does not collect, store, or have access to full payment card numbers, CVV codes, or other sensitive cardholder data. Payment processing and storage are handled by Nayax under their security and PCI compliance procedures.
• Payment records: We may retain transaction identifiers and non-sensitive metadata necessary for receipts, refunds, or investigations.
6. Backups, retention and security
• Backups: While uploaded images are deleted after transaction completion/cancellation, routine system backups may temporarily include transaction metadata. We have policies to purge backups per our retention schedule to limit prolonged storage of user content.
• Security measures: We implement reasonable administrative, technical, and physical safeguards to protect data (encryption in transit, access controls, network security). However, no system is perfectly secure; you acknowledge and accept residual risks.
• Breach response: Should a security incident affect personal data, we will follow applicable law regarding notification and remediation.
7. Sharing and disclosure
We do not sell or rent personal information. We may disclose information in the following limited circumstances:
• Service providers: To third-party service providers who perform functions on our behalf (e.g., Nayax for payment processing, hosting providers, analytics vendors). Such providers are contractually bound to protect data and only use it for providing services to InKase.
• Legal obligations: When required by law, regulation, legal process, or governmental request, or to comply with a subpoena, court order, or similar legal process.
• Protect rights and safety: To investigate, prevent, or take action regarding potential violations of law, fraud, threats to safety, or infringement of others’ rights; to protect InKase’s rights, property, or users.
• Business transfers: In connection with a corporate transaction (merger, acquisition, asset sale, bankruptcy), information may be transferred; we will require any acquirer to honor this Privacy Policy.
8. Your rights and choices
• Access and deletion requests: You may request information about the personal data we hold about you or request deletion by contacting Hello@inkase.today. For uploaded images, note that we delete files automatically after transaction completion or cancellation; if you request deletion before a pending transaction completes, contact support immediately.
• Opt-out of communications: You may opt out of non-transactional communications (e.g., marketing emails) by following the unsubscribe instructions in such communications.
• Legal limitations: We will honor requests to the extent permitted by applicable law. We may retain information as necessary to comply with legal obligations, resolve disputes, enforce agreements, and for internal operations.
9. Children
Our Services are not directed to children under the age of majority. We do not knowingly collect personal information from minors. If you believe a minor has provided us with personal data, please contact Hello@inkase.today and we will take steps to delete such information as appropriate.
10. Third-party links and services
Our machines or web interfaces may link to third-party websites or services. This Privacy Policy does not apply to those sites; we are not responsible for third-party privacy practices. We encourage you to review the privacy policies of third parties before providing personal information.
11. Cookies and tracking technologies
On our website we may use cookies and similar technologies (including third-party analytics such as Squarespace analytics or Google Analytics) to understand website usage and improve user experience. These tools collect aggregated, non-identifying usage data unless you provide personal information voluntarily.
12. Data protection & international transfers
If you access our Services from outside the United States, your data may be processed in the United States where our servers or providers operate. By using our Services, you consent to such transfer and processing. We take reasonable steps to protect information in accordance with applicable laws.
13. Liability and indemnity
To the maximum extent permitted by law, InKase disclaims liability for losses arising from your use of the Services. You agree to indemnify, defend, and hold harmless InKase, its officers, employees, and agents from any claims, damages, liabilities, or expenses arising out of your upload or use of user content, violation of this Privacy Policy or applicable law, or your use of the Services.
14. Changes to this Privacy Policy
We may update this Privacy Policy periodically. We will post the revised policy at this location with an updated “Last updated” date. Continued use of our Services after posting changes constitutes acceptance of the new policy.
